ABOUT

McColm & Company (McCO) is a mission-driven consulting firm working to help clients achieve critical development and diplomacy objectives in fragile states and vulnerable communities. McCO offers a suite of cross cutting core capabilities to design and implement solutions across three primary areas of practice – policy and diplomacy, economic growth and trade, and strategic partnerships. The Company primarily supports U.S. federal agencies by providing professional training, capacity building, research and analysis, program management, performance improvement, and staff augmentation services.
 
McCO currently supports the Area Studies Division at the Foreign Service Institute of the U.S. Department of State by providing essential Area Studies training to State Department and USG personnel and contractors. McCO seeks a Program Assistant to program management of the contract.

DESCRIPTION

The Program Assistant will provide administrative and operational support to the Program Manager. A key responsibility of the Program Assistant is the management and processing of honoraria requests for paid guest speakers who are invited to appear in Area Studies Division courses.

DUTIES & REQUIREMENTS

  • Monitor and manage program email accounts and provide exceptional customer service. Effectively respond to client and partner queries or escalate tasks to Program Manager, as needed.
  • Maintain up-to-date project data in Excel workbooks.
  • Support the management of program budgets by ensuring payment requests and accompanying documentation are managed according to Company policies.
  • Ensure program documentation is complete, accurate, properly processed, managed, and stored according to Company policies.
  • Conduct online research to supplement databases of subject matter experts.
  • Prepare travel approval requests, book travel, prepare travel reimbursement requests for program staff and contractors, as needed and according to Company policies.
  • Other duties as assigned.
 
REQUIRED QUALIFICATIONS & EXPERIENCE
​
  • 2-3 years administrative or programmatic support experience in a professional, high-paced office environment. Previous work on USG contracts is a significant advantage.
  • Bachelor’s degree in international relations, political science, or similar field preferred.
  • Interest in/knowledge of foreign policy issues and institutions is an asset.
  • Exceptionally detail oriented. Ability to focus and maintain organized workflow in order to reply to RFIs in real time.
  • Ability to work independently, under deadline pressure, with diverse teams, and effectively liaise with State Department, USG personnel, academics, and policy experts.
  • Possess and demonstrate excellent judgment and reliability.
  • Ability to effectively and professionally communicate in written and verbal correspondence.
  • Fluent English required.
  • Expert in Microsoft Office software -Excel, Word, PowerPoint - and Google GSuite.
  • Experience with project management software, online webform data management, DocuSign an asset.
